This Refund Policy explains the circumstances under which refunds may or may not be provided by Web of Wave (“Web of Wave”, “we”, “our”, or “us”) for the professional digital services we offer.
This Policy should be read together with our Terms & Conditions, Cancellation Policy, Privacy Policy, and any applicable Service Agreement or Statement of Work. By engaging our services or making any payment, you acknowledge that you have read, understood, and agreed to this Refund Policy.

Web of Wave primarily provides professional digital services, including but not limited to:

- Website Development
- Landing Page Development
- UI/UX Design
- E-commerce Development
- Search Engine Optimization (SEO)
- Generative Engine Optimization (GEO)
- Answer Engine Optimization (AEO)
- Digital Marketing
- Website Maintenance
- Performance Optimization
- API Integration
- AI Automation
- Technical Consultation
- Custom Software Development
These services are customized according to the specific requirements of each Client. Due to the personalised nature of our work, refunds are subject to the conditions set out in this Policy.
3. General Refund Principles#
Our objective is to deliver high-quality professional services and maintain transparent business practices. Refund requests are evaluated on a case-by-case basis after considering factors including:
- The scope of work agreed upon.
- The stage of project completion.
- Resources allocated.
- Work already performed.
- Deliverables already provided.
- Payments received.
- The reasons for the refund request.
No refund shall be granted merely because the Client changes their business strategy, preferences, or decides not to proceed with the project after work has commenced.
4. Advance Payment#
Unless otherwise agreed in writing, Web of Wave follows the following standard payment structure:
- 50% Advance Payment before commencement of the project.
- 50% Final Payment before final delivery, deployment, or source code handover.
The advance payment confirms the Client’s commitment to proceed with the project and enables Web of Wave to allocate resources, schedule work, and begin project execution.
5. Non-Refundable Advance#
Once project work has commenced, the advance payment is generally non-refundable, because it covers:
- Requirement analysis
- Discovery sessions
- Technical planning
- UI/UX research
- Resource allocation
- Project scheduling
- Initial design work
- Initial development work
- Internal meetings
- Project management activities
These activities involve professional time and resources that cannot ordinarily be recovered. Nothing in this Policy limits any non-waivable rights that may be available to consumers under applicable law.
6. Circumstances Where a Refund May Be Considered#
Subject to applicable law and the specific facts of the engagement, a full or partial refund may be considered where:
- Web of Wave has accepted payment but has not commenced the agreed work within a reasonable period without a mutually agreed extension.
- Web of Wave is unable to provide the contracted services due to reasons solely attributable to Web of Wave.
- A duplicate payment has been made by the Client.
- An overpayment has been received due to a billing or processing error.
- A refund is otherwise required by applicable law.
Any approved refund will take into account the work completed, costs incurred, and services already rendered.
7. Circumstances Where Refunds Will Normally Not Be Available#
Refunds will generally not be provided where:
- The Client changes their mind after project commencement.
- The Client decides to discontinue the project for reasons unrelated to Web of Wave’s performance.
- The Client fails to provide required content, approvals, credentials, or feedback.
- The Client delays the project for an extended period.
- The Client chooses another service provider after work has started.
- The Client disagrees with subjective design preferences after approving concepts or milestones.
- The project cannot proceed because of inaccurate or incomplete information supplied by the Client.
- Third-party platforms change their policies, APIs, pricing, or functionality after project commencement.
8. Refund Assessment Process#
Every refund request will be assessed individually. Factors that may be considered include:
- Project progress.
- Milestones achieved.
- Deliverables supplied.
- Time invested.
- Resources allocated.
- Third-party costs incurred.
- Payments received.
- Compliance with the Terms & Conditions.
Web of Wave reserves the right to request additional information or documentation reasonably necessary to evaluate a refund request.
9. Third-Party Costs#
Certain expenses incurred on behalf of the Client may not be recoverable. Examples include:
- Domain registration fees
- Hosting fees
- SSL certificate fees
- Premium themes
- Premium plugins
- Software licences
- Stock photography
- Stock videos
- Premium fonts
- API subscription charges
- Cloud infrastructure charges
Where such costs have already been incurred, they are generally non-refundable, unless a refund is obtained from the relevant third-party provider.
10. Consultation Services#
Fees paid for technical consultations, strategy sessions, website audits, SEO audits, performance audits, and discovery workshops are generally non-refundable once the consultation has been delivered.
If a consultation is cancelled before it begins, any refund will be handled in accordance with the applicable booking terms communicated at the time of scheduling.
11. How to Request a Refund#
To request a refund, please contact us in writing with your name, project or invoice reference, payment details, and the reason for your request. We will acknowledge your request and respond after assessing it in accordance with this Policy.
